About the services

The Interlibrary Loan & Document Delivery Department provides services to obtain your needed materials for research and private study from outside the CUHK libraries. To facilitate easy access of CUHK materials, the Library also delivers articles and book chapters available in the Library collections.


Types of document

The services cover journal articles, book chapters, books, dissertations, patents, and others. Borrowing inhouse materials from other libraries, like references and special collections are not allowed. Loan for copyrighted materials with restricted circulation such as audio-visual items and computer software are usually prohibited.

The department also handles document delivery on article and book chapter requests available in the Library collections, but not for checking out books found at the CUHK libraries.


Eligibility

The services are available to CUHK faculties, administrative and research staff, postgraduate and final year undergraduate students ONLY


Interlibrary Loan Service for Final Year Undergraduate Students

The service covers article requests available in the CUHK and from local libraries; as well as from overseas libraries with reciprocal agreements. Book loans are not included.


How to request an item

Eligible users may apply either by
  • submitting requests online through our CUHK ILLiad, or
  • sending the completed request form to the Interlibrary Loan & Document Delivery Department by mail or fax (2603 5263) when necessary
The Photocopy Request Form or the Loan Request Form can be downloaded from the Library web site. The forms are also available by fax via the 24 Hours Enquiry Service (2603 6699).

Delivery time

Delivery time ranges from several days to two months, depending on the location and availability.

From our library in 3 working days
From UGC libraries in 5 working days
From overseas sources from 5 working days to 2 months

Whenever possible, the ILL & Document Delivery Department will send your request to the best location at a reasonable cost (if charging is involved). Sometimes, the Library may be restrained by external factors to deliver items within your specified period. Users are encouraged to prioritize and submit your urgent requests earlier to allow enough lead time for processing.


Delivery and Loan Returns

Email notification will be sent to requesters upon receipt of their articles and loan materials. Except in special cases, articles will be delivered electronically to your ILLiad account in PDF format. They can be viewed (Acrobat Reader required) and printed from your CUHK ILLiad account within the specified period. The articles will be automatically deleted after 14 days' of posting.

Please do not return your interlibrary loan materials at any CUHK book drops. Please keep the attached loan slips intact for identification purposes. Requesters will be charged for any book loss or damaged due to mis-return of materials.




Loan period and renewal

There is no need to return journal articles and other photocopies. The requester may keep the photocopy.

Books, microforms, as well as dissertations in some cases, are for loan only. The lending library determines the loan period. Requesters have to observe the due date indicated on the green slip stuck on the cover of the item, or anywhere conspicuous.

Users may renew loan items online in ILLiad at least two working days before the due date. Whether an item can be renewed is determined by the lending library. Normally, renewal is not allowed by overseas libraries. Users will be notified by email if the renewal request is accepted. Please write down the new due date on the green label on the cover of the item. Books not accepted for renewal must be returned on time.

Late return and fine

A fine of HK$1.0/day/item will be imposed on any late return of loan item.


Quotas and Cost

Eligible users are granted different types of quotas for requesting articles and book chapters from CUHK, local and overseas libraries per academic year.

Books borrowed from other UGC libraries are free.

Free Quota

Free quota is used for obtaining articles free of charge from CUHK libraries, local libraries, as well as overseas libraries with reciprocal agreements.

Subsidized Quota

Subsidized Quota is for obtaining articles from overseas libraries. Users will be charged at a flat rate of HK$60 per article. The remaining cost will be subsidized by the Library. It only covers regular article requests but not for expensive items, such as dissertations and theses. Users will be informed about the full cost charged by the supplying libraries.

* If the above quotas are used up, users will be informed and the costs for additional requests are:

1. Free Quota: HK$10 per request
2. Subsidized Quota: At cost charged by lending libraries.

Costs for overseas interlibrary loan services

The cost is fully determined according to the charge scheme of individual overseas library. The photocopying charge of some of overseas libraries depends on the total number of pages copied, plus the copyright fee (if appropriate). Book loan charge also includes the postage.

Users have to set the maximum cost when submitting requests for trying overseas sources. Interlibrary Loan & Document Delivery Department will try its best to fill the requests within the maximum cost set by users. If the cost exceeds the set limit, users will receive email notification, asking them to confirm the new charge.

Loan: HKD300-500 (including postage)
Thesis: HKD500 (minimum)




Copyright

The interlibrary loan & document delivery services are provided in accordance with the Hong Kong Copyright Ordinance Cap.528 which only allows photocopying of no more than one copy of one article from an issue of a journal; or photocopying of a reasonable portion from a book.

Users should observe the Copyright Declarations on the request forms in ILLiad, or on the print request forms. Article requests violating the copyright restriction will be cancelled by the Library. However, users may request the Library to obtain such materials on their behalf from other document delivery suppliers by paying royalty in addition to the standard cost.

Copyright Declaration required by UK Libraries

In October 2003, the UK copyright law was amended. Users have to sign a separate Declaration Form to ensure your request is only for private study or research that is not for a commercial purpose. Those who are not able to sign may be charged a copyright fee in addition to the standard charge by the UK libraries.




Commercial document delivery suppliers

The Library will seek advice from users if it is necessary to order documents from commercial or non-profit document delivery suppliers.

Users may make requests themselves directly from these sources. The service charges may include additional costs for royalty, rush order service, citation verification and documents from their outside sources. Royalty ranges by publishers, from a few US dollars to over 50 US dollars. Payment is generally settled by visa card and bank check.

System Maintenance

System maintenance is scheduled on the second Friday of each month from 8:00 a.m. to 9:00 a.m. Interlibrary loan and document delivery services will be suspended during this period.
