Q What is the Electronic Reserve?

Electronic Reserve is a system providing the full text of assigned or recommended course readings in a digitized format to students enrolled in the course. It allows students to find, view and print course materials that have been placed on reserve by instructors via the Web-based Library Catalogue.

Q What are the advantages of using Electronic Reserve?

Electronic Reserve offers greater convenience in that students can access course materials 24 hours a day through the campus network, regardless of library opening hours or the availability of materials. Electronic access can also avoid the problem of missing pages or ripped copies.

For professors, Electronic Reserve offers a much greater variety of options for reserve materials, including personal homepage, announcement, course materials and useful course-related Web sites.

Q To whom will these materials be available?

Only those students, faculty and staff who are using the Web-based Library Catalogue in the campus or who dial-up through the campus network, via VPN Connection Service, or use the Library Proxy service are allowed to access. Materials are accessible only by instructor's name, course codes or course titles to ensure that the main users of the material will be students who are enrolled in the class.

Q What materials will be included?

Electronic reserve materials include class websites and scanned images of non-copyrighted course-related documents such as syllabus, lecture notes, problem sets and solutions, etc. Electronic journal articles available from the following databases can also be included:

  • EBSCOhost
  • IEEE Xplore
  • JSTOR
  • OCLC First search Electronic Collections Online
  • Ovid Web Gateway
  • ProQuest
  • ScienceDirect
  • URLs for full-text journal articles available from the captioned databases can be added to Electronic Reserve.

    Q Can I place book chapters on the system?

    No. Since libraries are bound by copyright law, we cannot post copyrighted materials unless the instructors have received the copyright holder's written permission.

    Q What file formats are acceptable for Electronic Reserve?

    Any files created using standard word processing software, including Microsoft Word, Excel, PowerPoint, PDF and HTML.

    Q How can I submit items to Electronic Reserve?

    You can submit the course materials :

    • as an attachment to an email message to Reserve Books Department.
    • as an electronic file on a 3.5 inch disk, send to the Reserve Books Department.
    • as a paper copy, send to the Reserve Books Department.

    Q Is there an electronic form to submit materials to reserve?

    Yes. You may read the Guidelines for Submitting Reserve Request Form before filling out the Request Form for Electronic Reserve.

    Q How long will it take to get materials on Electronic Reserve?

    The processing of reserve materials, including scanning them, may take 2-3 working days. However, more time is necessary at the beginning of each semester because we usually have a large number of requests at that time.

    Q How to find out if materials are available electronically?

    On the library homepage, users can select Web-based Library Catalogue. Then click on Course Reserves by Prof/Ta or Course. A reading list for a professor that is also on Electronic Reserve will have Electronic Reserve after the title of the document. Users can click the title to pull up the text.

    For demonstration, click on Course Reserves List by Prof/Ta when you in CUHK Web-based Library Catalogue, and search under the professor's name Demo.

    Q How do I view the electronic documents?

    All electronic documents will be converted to PDF (Portable Document Format) files, which can be viewed using Adobe Acrobat Reader 4.0 or above. This software has already been installed on the public workstations within the libraries. If you are working on a computer which does not have the Adobe Acrobat Reader, you may download from the Web without charge.     Q How to print/save course materials available from Electronic Reserve?

    At the image screen, you can print the materials by clicking the printer icon on the tool bar or selecting the 'Print Frame' option from the File pull-down menu.

    To save the materials, click the 'Save As' option from the File pull-down menu. Then type a desirable filename in the dialog box and click on Save button.

    Q Can I add the hyperlinks of Electronic Reserve documents created by the library to my class webpage?

    Yes. Once we have placed course materials on Electronic Reserve, a link to these materials is set up and can be moved onto your class webpage. Please contact the Reserve Books staff for details.

    Q Will Electronic Reserve replace traditional reserves?

    No. Instructor-created materials will be included at the discretion of the instructor. Electronic Reserve is only a supplemental access point to the traditional reserves format.
